Respond to queries and provide information to the public, customers, visitors and other interested parties about the activities carried out in the establishments and locations of the organization’s departments, offices and employees.
Job Responsibilities:
● Providing institutional information, such as the location of a department or office, the organization’s employees, or services provided.
● Process and prepare memos, letters, travel vouchers or other documents.
● Operate the switchboard to answer, filter or transfer calls, provide information, receive messages or schedule appointments.
● Carrying out duties such as caring for plants or organizing magazines to maintain the lobby or reception area.
● Hold tours or lectures that showcase public facilities such as historic sites or national parks.
● Perform administrative support tasks such as proofreading, transcribing handwritten information, or operating calculators or computers to process payroll records, invoices, balance sheets, or other documents.
● Schedule appointments and maintain and update appointment calendars.
● Collect, sort, distribute or prepare mail, messages or deliveries.
● Keep up-to-date records of team members’ location and availability.
● Listen to and resolve complaints from customers or the public.
Demand:
● High school education desirable

Full job description
Keystone Human Services is looking for a Receptionist to join the professional team and make a positive difference in the lives of their neighbors and community.
Receptionists are responsible for making a positive and professional first impression with internal and external customers, which directly reflects Keystone’s mission, vision and commitment to quality service. This position also provides temporary office and administrative support to various administrative departments within the assigned office.
To work:
Answer all incoming calls with courtesy and professionalism
Greet all guests with courtesy and professionalism
Responsible for opening/closing the office
Maintain conference room schedules as needed
Accurately and quickly categorize incoming emails
Process overnight mail as needed
Make sure all outgoing emails are sent daily
Manage daily scan logs
Write and type memos, letters, and other correspondence
Order office supplies and rest supplies
Maintain the lobby/reception area to ensure it is clean and tidy
Perform functions such as filing, data entry and other administrative tasks
Actively participate in agency and program leadership activities
perform other functions assigned to it

Minimum requirements:
high school diploma or equivalent required
Efficient and effective receptionist/clerk skills
Proven reliability and punctuality
Ability to work flexibly up to 3 days a week (share work with other receptionists)
Typing Capacity 30-45 ppm
Ability to collaborate effectively with people at all levels of the organization
Excellent communication and grammar skills and business acumen
Proficiency in Microsoft Office (Word, Excel and Outlook) is a must
